About The Position
The Facilities Assistant Manager plays a key support role in maintaining the daily operations, safety, and functionality of the campus facilities. Reporting to the Manager of Logistics, this position assists both the Logistics and General Maintenance Managers in coordinating maintenance activities, managing facility-related projects, supporting events, and overseeing equipment and supply inventory.
The role requires hands-on involvement in a variety of tasks including preventative maintenance, repair coordination, vendor communication, team scheduling, and work order management. The Facilities Assistant Manager serves as a flexible resource across departments, helping ensure that both internal operations and public-facing spaces meet high standards of cleanliness, efficiency, and readiness. This position requires physical activity, adaptability, and a customer-service mindset.
The responsibilities assigned to the Facilities Assistant Manager are considered mission critical. This position will be expected to respond promptly to urgent calls or texts and should be available to work evenings, weekends, or holidays. This position will also require you to participate in an on-call rotation.
Essential Duties and Responsibilities
- Implement regular preventative maintenance schedules as assigned by the Director and Manager.
- Work with the Manager of Logistics to schedule staff and personnel to best meet the needs of the Campus.
- Communicate with the on-site event and janitorial team making sure directions are clear.
- Ensure the team maintains standards, policies, and procedures as they relate to preventative maintenance, event setup/breakdown, and recycle/garbage disposal.
- Oversee the installation of equipment (e.g., washers, dryers, microwaves, refrigerators, etc.) and assembly of furniture, fixtures and other equipment as needed.
- Assist in maintaining a program to assure conservation is within the required environmental perimeters.
- Make assignments and schedules for the team to ensure critical items are taken care of.
- Follow up with any work order requests through our centralized maintenance management system.
- Work with other contractors/vendors on special projects.
- Prepare reports and share them with the appropriate groups and departments.
- Assist with daily chores and other duties assigned.
- Identify on-going capital improvement needs or projects.
- Collaborate with other facilities leaders and departmental teams across campus.
- Maintain stock inventory and supplies.
- Attend meetings as needed/required.
- Assist the Logistics team with events and public programs set up and tear down.
- Assist in dock management.
- Perform other duties as assigned.
Qualifications and Requirements - High school diploma or GED preferred.
- Any combination of education, training, and experience that demonstrates the ability to successfully perform the responsibilities of the role.
- Strong verbal and written communication skills in English.
- Ability to understand and maintain the highest standards of confidentiality.
- Willingness and ability to learn and use specialized software.
- Strong organizational and time management skills.
- Skilled in multitasking and critical thinking in a fast-paced environment.
- Creative and effective problem-solving abilities.
- Proficient in using a variety of hand and power tools.
- Capable of operating standard equipment and machinery, including forklifts, scissor/extension lifts, and vehicles/carts/trailers.

Physical Demands: In the work environment described, this role requires a high level of physical activity, utilizing a computer and telephone for prolonged periods of time, good eye/hand coordination, verbal and written communication with others, and lifting/carrying up to 75 lbs. Vision abilities required by the job include close vision. This role requires regular walking, bending, ladder climbing, reaching, and use of hands to finger, handle, or feel objects, tools, or controls. Occasionally working at heights may also be required.
Work Environment: Work is performed in both indoor office settings and outdoor environments, including exposure to varying weather conditions. The typical noise level is low to moderate, however, operating certain equipment may result in higher noise levels. Flexibility in working hours, including weekends and evenings, may be necessary to support operational needs.
